VoIP Should Adapt to Your Organization

Posted by Mark Greim on Dec 30, 2013 10:58:00 AM

voip adapts to officeNew technology brings a lot of pluses to the table of any business, but incorporating new technology also requires adaptation. It's not always easy to adopt technological advances into your daily operations. Sometimes it requires substantial upfront investments in money, manpower, or time. Sometimes it means delays or time to get the bugs worked out of the system. Sometimes it just means being willing to learn something new. But keeping on top of new technology that can benefit your day-to-day operations and customer satisfaction is essential to successful business.

While that may mean that sometimes you have to adapt to new technologies, VoIP technology should adapt to you and the needs of your organization. Like any new technology, the purpose of VoIP is to make your business run smoother, improve customer service, and make your life easier. To that end, VoIP offers a host of flexible features that can be adapted to fit the needs of your organization. Hosted VoIP phone services from sipVine are budget friendly, don't require a significant upfront capital outlay, and offer customized deployments for all of your business needs, large or small.

Modern VoIP phone technology brings with it a lot of benefits that older phone systems couldn't manage, including direct dial, voicemail and inbound faxes to email, voicemail notifications to cell phones, unified messaging, on-phone corporate directories, IT and telecom support, and a variety of other advances that can help bring your phone system into the future. In addition to our VoIP services, sipVine also offers VoIP-enabled phones that boast a wide range of labor-saving and organizational features such as call waiting, caller ID, call transferring and forwarding, ad-hoc conferencing, group paging, intercom, and more.

Customized deployment means that you only pay for the services that you need for your business. At sipVine, our flat-rate service models include unlimited local and long-distance calls, and we offer price points on a sliding scale based on the number of users on your system, including low-usage phones (such as those in break rooms and conference rooms) priced at our lowest tier. Hosted VoIP has the added benefit of allowing you to turn over the administration of your phone system to sipVine. There's no longer any need for an expensive and maintenance-intensive private branch exchange (PBX) for your phone system. sipVine hosts the VoIP system, and handles the administration as part of our monthly flat fee, so you know what you're getting in advance, and pay for only what you want.

Many new technologies pay off in the long run, but require a lot out of you in advance. VoIP from sipVine gives you the best of both worlds, paying dividends in savings and performance, while adapting to suit the needs of your business from day one.

Declare Your Independence from Big Phone Service Providers

Posted by Mark Greim on Jul 2, 2010 8:48:00 AM

With Independence Day approaching, it’s a great time for businesses to evaluate their phone service provider and determine if the relationship is mutually beneficial.  Is the extent of your relationship your receipt of a monthly bill?  Is your service provided by a series of off-shore call center representatives? Are you charged for a dispatch of a service technician?  Declare your independence from these practices!

declare independence from big phone service providers - choose sipVine

I’ve personally worked for large phone service companies, and I know clearly that the non-published goal is to meet or exceed Wall Street expectations on a quarterly basis.  In a time where competitive influences have created customer churn for these companies, the focus is all about margin protection.

At sipVine, our stated goals are delivered to our business customers everyday:

·       Minimize your up-front investment;

·       Improve your communication functionality;

·       Lower your administrative costs; and

·       Maximize your monthly recurring savings!

How do we accomplish this?  First and foremost, we are a provider of both the equipment and phone service, allowing us to deliver a reliable and purposeful solution that is customized to meet the needs of your business.  We have multiple platforms as well.  The hosted digital phone solution reduces your up-front investment while providing state-of-the-art communication functionality to your business.  Our on-site digital phone solution is a full featured phone system that is priced much less than the well known phone system providers.

We also do not deploy bundling schemes.  All of our features and services are included in our low monthly rate per user.  This includes all of your local and long distance calls as well as your phone system administration.  sipVine can deliver our services across this great country, so if your business operates in multiple states, you can benefit from having all of your locations utilizing the same platform and service provider.  Finally, sipVine absorbs all surcharges and fees that the big providers conveniently pass through to their customers.

Certainly, our goal is also to grow, but we believe that growth comes from a relationship with our customers that is mutually beneficial and not influenced by investor and Wall Street analysts profit expectations!  Begin drafting your declaration of independence by contacting sipVine today!

How can Digital Phone Service Technology Manage your Call Flow?

Posted by Mark Greim on Jun 7, 2010 11:54:00 AM

The right digital phone service provider can configure your business phone traffic patterns for how you do business, thus improving your efficiency and customer communications. There are several options a business can deploy:

·       Incoming Line Options – The first variable in custom programming is determining how incoming calls to a company’s main line are handled.  If an automated attendant is not utilized, phone calls can be directed to a receptionist, ring a group of people simultaneously, or be programmed to roll from selected individuals as desired.

·       Time of Day Call Schedules – Businesses can choose to program call routing schedules based upon the time of day.  The best example is before and after hours of operation.  Businesses can have their calls directed to alternative phone numbers (answering services, cell phones, etc.) or to an after-hours auto attendant. Businesses with branch locations in multiple time zones can direct incoming calls based upon staff availability for that time of day.

Call Routing with Digital Phone Service

·       Hunt/Ring Groups and ACD Queues – You can also designate groups of people to be eligible to take a specific type of call.  For example, you may have a customer service department with multiple representatives. Your receptionist or auto attendant can send new calls into this group list, which can be programmed for simultaneous ring, hunting for the next available attendant, or in an actual queue. These can be as numerous as your business has categories for customer contact and each can be uniquely programmed for the right ring pattern for the situation.

·       Automated Attendant – Customers can be routed directly to the right group of people to meet their needs through an automated attendant.  This eliminates the need for a reception or call screening resource. There are some good guidelines to follow for effectively utilizing an auto attendant, as if it is implemented correctly, it can enhance your customer satisfaction and drive efficiency.

These are just a few of the ways a digital phone service provider can streamline your communication patterns.  As you evaluate providers, ensure that as a part of their installation and service that you receive this type of programming customized to how you do business!

Lessen Your Business Moving Day Anxiety with Digital Phone Service

Posted by Mark Greim on May 24, 2010 9:22:00 AM

Moving is stressful enough on your business, and you can quit worrying about whether your phone service will be up and running in time by going digital!  sipVine has helped many new customers ease this tension by implementing hosted digital phone service prior to their move date.

Timing your digital phone service move

The previous plan for these prospective customers was to attempt to time their switch over to the new facility with their current carrier.  This involved provisioning their new lines and coordinating their cut over with the provider.  Depending upon the reliability and timeliness of the provider’s service department and the efficiency of moving their existing phone equipment, the business was potentially facing a period where they would be out of service for a period of time.

By choosing sipVine, we counseled these new customers to implement their new hosted digital phone service prior to their move.  The porting of the phone numbers is taken care of in advance of the move and everyone is well trained on all the new features and benefits they receive from the digital phone service.  The new location is provisioned with an internet connection and it is all ready for the move.  On moving day, they simply plug their new phones into their Ethernet connection, connect the internet to the router, and they’re making and receiving phone calls!

Additionally, these customers are able to save money on their wiring, as they only need to wire for Cat5 or Cat6 Ethernet.  They can also choose to deploy Power over Ethernet switches for their digital phones and conserve on the number of outlets in offices they need to wire.

If your business is preparing for a move, consider it to be a time to enhance your phone system’s capabilities and lessen your move anxiety at the same time!  Call sipVine for a consult!

Why Sign a Term Contract for Your Business Digital Phone Service?

Posted by Mark Greim on May 19, 2010 8:28:00 AM

You don’t need to! Simply put, traditional business telephone providers want to lock you in, and term contracts in exchange for something is how they do it.  It’s all about creating a guaranteed return on their marketing and sales investment.

Examples of methods utilized to coerce you into signing term agreements are:

1.   Special promotional or advertised pricing is only available with a term agreement

2.   Up-front installation or other “activation” fees are not waived without a term agreement

Once you’ve signed a term agreement, you pay penalties for early termination and service downgrades. Additionally, you may face auto-renewal notice requirements that, if missed, can lock you in for another year or longer.  Finally, many of these contracts don’t provide you with price protection.  Check the fine print to see if the rates are subject to change without notice.

sipVine is a different telecom provider

There are business phone providers out there who are willing to earn your business every day without the protection of a term contract.  At sipVine, we believe that our advertised or current price schedule should be uniformly applied and available to everyone who wants to use our service.  We also stand on the principle that customers deserve the right to change providers if the service does not meet their expectations.  It may not be a standard business practice for the telecom industry, but it is a fundamental way of doing business for sipVine.

So, as you are evaluating a change in your phone providers, suggest that you can receive advertised prices without signing a contract with other providers and see if the providers will match that understanding.  If not, call us!

Embrace New Technology with Business Digital Phone Service

Posted by Mark Greim on May 3, 2010 9:06:00 AM

It’s truly amazing what has occurred over the past thirty years from a business improvement standpoint. Digital Phone Service is just one example of a new technology that can do wonders for your business.  Consider the following innovations just in this generation from a before and after standpoint and what they have meant for your business:

·       Data Processing to Personal Computing

·       Land-line Phones to Cellular Phones

·       Print Media to Electronic Media via the Internet

·       Business Letters to Emails

·       Wired Networks to Wireless Networks

·       Yellow Pages to Search Engines

·       Analog Phone Service to Digital Phone Service

I’m clearly dating myself to say that I worked in the “before” era.  Times were much simpler, yes, but it’s hard to argue with the huge improvements in business and personal productivity that exist today.   So, how does Business Digital Phone Service fit into such an impressive list of business improvement innovations?

Improvement through Business Digital Phone Service

Voice over the internet (VoIP) powers the class of service known as Digital Phone Service. Simply moving voice traffic over the same connection as your data traffic allows for a convergence of technology that drives many benefits.

1.     Unified Messaging – delivers voice mails and faxes to your email, allowing you to access them anywhere through your smartphone and maintain digital records if you so choose.

2.     Call Detail Reporting and History – we all love our cell phone directories, call history, missed calls, and the like.  How about that same technology on your business phone available at a touch and through reporting?

3.     Investment Options – businesses can now choose the level of investment relative to their phone system required to flexibly run their communications.  Both an on-site and a hosted model allow for flexibility in sizing and are scalable to the business, but have different entry points for investment.

4.     Mobility / Accessibility – with Digital Phone Service, your business phone is no longer tied down inside the walls of your business.  Anywhere high speed internet is available, you can use your business phone and appear just as if you were in the office.  This means that you can make your workforce virtual nationwide if the need fits. Forwarding, concurrent ringing to cell phones, even duplicate business phones with your same number allows you to never miss a call!

5.     Freedom to communicate – most Business Digital Phone Service providers allow for unlimited local and nationwide calling in their service fee.  This has saved businesses a great deal of money.  Plus, you can re-emphasize verbal communication with your customers and prospects.

6.     Custom programming– good Business Digital Phone Service providers can leverage the technology to customize the phone system to work exactly as your business requires.

There’s more to come! As technology and businesses evolve, continued advancements are no longer just on the horizon, but well within our sights.  Continue the advancement of your business by switching now to a digital phone service platform and ensure you will maintain your competitive advantage by embracing technology!

Confused by Your Monthly Business Phone Service Bill?

Posted by Mark Greim on Apr 15, 2010 10:09:00 PM

If you currently receive multiple pages for the monthly billing of your business phone service, it is likely very confusing and filled with add-on charges.  Standard rates for service from traditional providers start increasing when including extra charges for what should be common features. Even “bundling” features can increase the cost per line.

Confused by Business Phone Service Bill

Some examples of add on features that create variability in standard costs per line are Caller ID Name Delivery, Caller ID Number Delivery (seriously!), Three-way Calling, Call Forward, Voice Mail, Call Blocks, and Hunt Groups.

Additionally, variable charges for activity may creep into your billing, such as variable charges for long distance calling and directory assistance calling.  Finally, what exactly are those dreaded surcharges? Federal Subscriber Line Charges, Special E911 Taxes, Federal Universal Service Fund, State Universal Service Fund, Relay Surcharge, Special Municipal Charge, State Telecom Excise Tax, FCC Fee, and Regulatory Recovery Fees are all examples of the surcharges you may find on your bill.  These can easily add 15 to 20 percent to your monthly bill!

At sipVine, we believe our customers deserve a simple and straightforward price with an easy to understand bill.  Our hosted digital phone solution pricing practice exemplifies this simplicity:

·       All local and long-distance calling are included in a monthly flat rate per user

·       Volume discounts are applied as more users are added.

·       Routine system administration and maintenance are included in the per user pricing.  No trip charges or service charges will be experienced by our customers!

·       All features, including future enhancements, are included in the one flat rate!

·       You will not be hit with surcharges!  sipVine absorbs all regulatory charges and does not pass them on to our customers.

The only variable charges we have are for toll-free and international minutes.  The only addition to the monthly bill is for local sales tax.

If your bill is confusing and you simply pay it month after month, take a closer look and call us for a comparison.  Register for a no obligation free offer to save even more money!  Our mission is to simply provide you with awesome features and save you money while keeping everything simple and straightforward…including your monthly bill!

Advantages of a Common Business Digital Phone Service for Branches

Posted by Mark Greim on Apr 13, 2010 1:49:00 PM

Businesses with multiple branch locations, whether locally based or nationwide, can benefit from a common business digital phone service platform.  Several solutions can be deployed depending upon the size of the company, whether it be an on-site server at the corporate office that serves as a hub for all branches or using a hosted digital phone service provider for all locations.  Regardless of the core platform implemented, there are several advantages that the business will gain through the common platform:

Business Digital Phone Service for Branch Locations

Centralized Reception – Businesses can implement a central phone number for all branches and consolidate the reception or auto attendant function at one location.  Depending upon your selection of a digital phone service provider, you should be able to point as many local numbers as you have branches to a single receptionist for handling, regardless of the locality of the phone number. If there are multiple time zones involved, the right digital phone service provider should be able to create time of day routing routines to make this configuration work to your advantage. Centralizing reception will help reduce the number of employees required as well as create consistency in communication with your customers.

User Advantages – Employees in all branches will be able to call, transfer, and conference other employees through extension dialing.  Additionally, a common company directory for employees and routinely called numbers can be programmed for all to use.

No Long Distance Charges – With most digital phone service providers, long distance calls are included in the monthly service fee.   Therefore, if your business operates branch locations in different parts of the country, you would no longer experience long distance charges for calls between branches or the corporate office.

Centralized Service Provider – By working with a single business digital phone service provider that can provide both the phones and the service coast to coast, your business will benefit economically.  Most providers can deliver quantity discounts through the consolidation of your service. Additionally, there would be a single point of contact for any phone service administrative requirements.

There are many advantages to make the shift to a VoIP or digital phone service provider, but for companies with multiple branch locations, the above benefits really highlight what this technology can do for their productivity and financial efficiency.

Business Digital Phone Service for the New Age

Posted by Mark Greim on Apr 7, 2010 4:00:00 PM

Isn’t technology wonderful?  It wasn’t that long ago when tweeting was only for the birds, (b)logging was something that occurred in Oregon, and surfing only occurred on the coasts. When you think about all the new and cool ways we communicate as business people, you may want to blow the dust off of your turn-of-the-century phone!  (Yes, sadly, the turn-of-the-century used to be 1900).

old phones? you need business digital phone service

With the rapid proliferation and adoption of new communication methods, it is somewhat surprising that many have held onto their analog phones and fax machines, especially when new technology can drive economic benefits.  Perhaps what is even more surprising is that there are still areas where copper wiring is being deployed to serve new neighborhoods.  The fact of the matter is that it is very expensive for telephone companies to replace their copper plant with fiber and their analog switches with digital technology. Plus, there’s a ton of money still made on their old plant and Wall Street has grown accustomed to their high margins, so it’s tough to pull back.

This has opened the door for new entrants into the marketplace.  Many VoIP providers have been around since, well, the “new” turn-of-the-century and now are well established in the local and national marketplace. Although selection of the right provider still deserves a cautious approach, many have perfected the technology and can deliver the voice quality you and your customers expect.

Moreover, there are some very cool things your business digital phone service can do to improve your communications, accessibility, and your bottom line.  Some examples are:

·       Voicemails and faxes to your email

·       Programmable features customized to the user, such as simultaneous ring to your cell phone

·       Directories, call lists – just like your cell phone

·       Unlimited local and long distance calling

·       Automated attendant programmed to kick-in when you choose

With the virtual world opening up before us, companies have moved beyond the bricks and mortar of their single location.  You may have employees operate remotely at their homes, in different cities, and even in different countries.  Digital phone service can make it seem to your employees and your customers that they are all right down the hall.  Your phone service and system can be consolidated under one provider and your employees can extension dial their peers in another state!

Finally, for all you awesome bloggers, texters, emailers, and tweeters out there, there’s nothing like the influential nature of your voice when speaking to a customer or prospect. So, get nostalgic, push away from your computer, pick up your new digital phone, and talk with someone!
