Digital Phone Solution for Smart Business…What is Smart Business?

At sipVine, our team has been asked occasionally to define “smart business” as it relates to our slogan, The Digital Phone Solution for Smart Business.  Although this is certainly an opinion, it is an opinion formed through many years of business experience.  Thus, we submit this list for your consideration and demonstrate the value of sipVine’s Digital Phone Solution against these attributes.

Smart Business….

  1. Endeavors to stay current with new technologies.  Migrating applications to the cloud is a trend that is clearly on an accelerating path.  Cloud telephony migration in the business community is a growing trend and will replace traditional analog services in the not too distant future.  sipVine’s hosted digital phone solution delivers many advantages consistent with bringing new technologies into the business.
  2. Develops partnerships with service providers and vendors. The best relationships are formed under a win/win scenario.  Selection of providers and vendors who share that goal improves the business climate and helps make the organization better.  At sipVine, our goal is to be seen as the phone “department” for our customers.  We have established multiple points of access to our service team and strive to deliver the perception that we are just “down the hall” when providing service, whether you are a local customer or a customer in another state.
  3. Creates efficiencies throughout the organization.  Delivering results that favorably impact the bottom line is an everyday objective of smart business.  Whether this is from direct savings on your phone service bill, or from efficiencies derived from the feature set of a digital phone solution, sipVine’s goal is to deliver these benefits to all of our customers.
  4. Continually improves communication practices with customers.  One of the best ways to retain and grow a customer base is to develop ways to refine and improve communication practices.  Digital phone technology allows for great flexibility and custom programming to achieve better and more customer pleasing communications.  sipVine has many years of providing service, and has built a solid list of best practices.  We combine a consultative approach with our flexible, custom design to absolutely deliver on this attribute of a smart business.
  5. Empowers workforce to delight its customer base.  There are many practices a smart business can deploy to empower a workforce.  In the context of a digital phone solution, the advantages are aplenty.  A hosted environment can provide a virtual environment for employees who are in the field with the customers from which to operate and communicate more effectively.  Custom automated attendants can route callers to the right employees to handle customer requests.  Call groups, queues, and other routines can be deployed to achieve maximum customer satisfaction.

There are many other attributes of a smart business, and we believe sipVine offers the digital phone solution to meet their needs!

Using Digital Phone Service to Improve Communications with Customers

Posted by Mark Greim on Apr 5, 2010 10:41:00 AM

Many businesses have found that a digital phone service can improve their communications with their customers.  As opposed to antiquated phone systems, today’s digital platforms bring many technological advantages and improve your accessibility to your customers.  Whether your company is small or large, there is a digital platform available to meet your needs, either a Hosted Service or an On-Site Digital PBX.

Digital phone service platforms allow your business to program your communication strategy to how you do business.  You can make it easier for your customers to reach you and/or ensure that their messages are routed for prompt response.  Below are some examples of ways your communications can be programmed for optimal customer communications:

Accessibility – Your customers have called, and their goal is to speak to someone immediately or at least receive a prompt response.  Digital solutions allow for several alternatives to ensure that this happens:

·       Simultaneous Ring to Cell Phones – if your staff is remote or routinely away from their desk phones, you can program your digital phone system to simultaneously ring, or forward after a few rings, to their cell phones.  Your digital phone service provider should be able to include an indicator that the incoming call to their cell phone is coming from a business routing.

·       Call Forwarding – This isn’t a new feature, but each individual user can program their phones to route to a different number when away from their desk.

·       Ring Groups / Hunt Groups – Whether you’re using an automated attendant or receptionist model, employees with similar functions (say technical service) can be placed in a group. Calls can be sent to a group where the all the phones ring simultaneously and are delivered to whoever answers or they can hunt for an available associate.

·       Remotely based employees – home based or branch based employees can have a digital phone at their location that acts like an extension of the corporate office phone system. VoIP applications have opened up a world where phone systems no longer have to be within the walls of the corporate office!  (See my previous blog on making your workforce virtual!)

Unified Messaging – Digital phone solutions have merged data and voice communications, again improving your responsiveness to customer needs.

·       Voicemail Routing – These applications allow for voicemails left on your business phone to be sent to your email.  If you are working remotely or if you have a PDA cell phone, you will be notified of a message and can respond immediately.

·       Fax Routing – Inbound faxes can be delivered electronically to your business.  If you have one fax line serving your business, these faxes can be placed in one or more email boxes and can be routed to the individual quickly for viewing and action.  If you have multiple fax lines targeted for individuals or groups of individuals, the same benefit applies.

Call Routing – Again, there are many ways a digital phone service can be programmed to match your business needs and customer demands.  Programmed actions remove all efforts that you previously had to take in making this happen each day.  Here are just a few examples:

·       Time of day routing – your digital system can automatically route your calls based upon the time of day.  This may be simply your standard hours of operation, where after hours calls are routed to your destination of choice – company voicemail, cell phone, or answering service as examples.

·       After-hours auto attendant – If you don’t deploy an automated attendant during business hours, you can deploy this for after hours so calls coming in can be routed to specific employees or employee groups.  This way, other digital functions can kick in, like simultaneous ring to cell phones, any call forwarding programs, or unified messaging.

·       Holiday routing – your company observed holidays can also be pre-programmed so that these calls can be handled like your after-hours program as well as have a customized message on the recording.

Again, whether your business is large or small, you can take advantage of these digital phone solutions to improve your communications with your customers!
